A fantastic opportunity for a proactive individual who thrives in a fast-paced environment to join Grandstand Media Limited, to have a leading role in organising one of the most prestigious equestrian events in the UK – Horse of the Year Show, and other events within the company profile. We’re seeking someone who gets things done, adept at problem-solving and effective communication across diverse stakeholders. You will have a keen eye for detail and identifying opportunities, coupled with great leadership skills to shape the future of our events.
ROLE PURPOSE:
This is a pivotal role for the operational delivery of the full range of events that are organised by Grandstand Media Limited including Horse of the Year Show, Stoneleigh Horse Show, British Showjumping National Championships, The Showing Register and Showing World Awards. The ideal candidate will oversee the daily operations, develop strategic initiatives, meet financial and budgetary targets, work to health and safety standards and provide exceptional service and delivery in all areas.
Grandstand Media Limited is a team of specialists with many years’ experience planning, organising and running equine events. Most notably Horse of the Year Show (Birmingham, CSI 3*) which GML has organised since 1997 the event now welcomes over 60,000 visitors in October at the NEC. The British Showjumping National Championships and Stoneleigh Horse Show was added to the company profile in 2015.
This is a full-time position located at the group’s offices at Stoneleigh Park. Additionally, during an event the applicant will be required, along with the company’s other personnel (at the expense of the company) to be based at the host venue of the event. This currently involves staying at the NEC Birmingham for approximately 17 days in October and at NAEC Stoneleigh each year.
This person will report directly into the Event Director. Direct Reports Operations Assistant.
KEY OBJECTIVES
Ensure operational delivery is exceptional whilst adhering to company policies and health and safety regulations.
Work in conjunction with other teams to maximise revenue opportunities and to manage operational delivery.
Negotiate with all suppliers on price, quality and delivery parameters to improve company profitability.
Work to operational budget for events and provide forecasts as required throughout the planning processes.
Continually look to improve services and delivery of events.
Maintain excellent communication and a proactive response to overcome problems, working well under pressure to deliver a considered response/action.
Managing direct reports to exceed operational delivery.
PRINCIPLE DUTIES & RESPONSIBILITIES
Produce and manage annual operational budgets, ensure that all elements are competitive and that the event delivers to customer and client expectations.
Provide detailed planning for ongoing, proactive and reactive projects.
Oversee efficient allocation of staff, volunteers and resources for the events.
Managing the event team during events to ensure that the delivery of the events is done in a safe and professional manner.
Liaising with contractors and venues for the smooth running of events and to ensure that the event is following health and safety protocols.
Contract management of suppliers and infrastructure for all events.
Sourcing entertainment acts for the feature display at events.
GENERAL RESPONSIBILITIES
Work to deadlines with excellent attention to detail and time management skills
Maintain and improve competencies through continuous professional development.
Manage Direct reports appraisals, reviews and development, including training.
Work to administration, communication, environmental, health and safety protocols and policies to ensure that organisational systems and procedures are implemented.
Abide by organisational policies, codes of conduct and practice as described in the Staff Handbook and in event specific guides.
Carry out other associated duties as may arise, develop or be assigned in line with the broad remit of the post.
Follow and achieve on regular basis the key performance indicators as set by the Event Director.
EXPERIENCE, KNOWLEDGE AND SKILLS REQUIRED
Extensive and demonstratable successful experience of working at a management and operational level within an events business or a business with similar activity.
Knowledge of equestrian events would be preferred.
Proven ability in implementing business improvements and processes to improve efficiency and reduce costs.
Financially aware with direct experience of budget production, implementation and control, with proven ability to produce business plans and strategies to cost control and increase profit.
Positive “can do” attitude, with good organisational, communication and negotiating skills.
Ability to meet deadlines with excellent attention to detail and time management skills.
Able to maintain effective working relationships with stakeholders.
Hold or prepared to complete the NEBOSH and/or IOSH Managing Safely course and First Aid at Work course.
Ability to work flexibly in responding both to change and duties of the post.
Due to nature of the post flexibility is required regarding hours of the role, expectation to work when company requires depending on the events taking place.

Hours of work Monday-Friday inclusive, 9:00am – 5:00pm
Working at events may require a minimum of 8 weekend days. The applicant must understand the requirement for extra hours (within the basic salary contract) both prior to and during the events.
